California Tax Payments - changing CA EDD bank account

I received a letter from the State of California EDD to update the ACH account information. They are moving from Union Bank to US Bank and the tax payment information needs to be updated. Does Quickbooks take care of this automatically? I looked all over in my account and can't find anywhere to update this information.

QuickBooks will take care of this, @Irotsirhc.

 

You no longer need to update the California Employment Development Department ACH account information if you e-file and e-pay within the account. However, if you're filing and paying outside QuickBooks Online (QBO), you may need to update this information outside QuickBooks.

I also received the same letter.  Will Quickbooks handle this EDD ACH Bank change for Enhanced Payroll Plus Pro customers, as well?

You can update your bank account used for tax payments by initially changing it with federal and state agencies.
 

Here's how:
 

  1. Visit the Electronic Federal Tax Payment Services (EFTPS) website and go to My Profile.
  2. Sign in using your current PIN and password.
  3. Under the Enrollment menu, click Additional Taxpayer Enrollment.
  4. Accept their Privacy Act and Paperwork Reduction Act information.
  5. Enter your new bank details.
  6. Create a new PIN number.
  7. Sign out after you finish the new enrollment.
  8. Create a new Internet password.
  9. Sign in with your new PIN and password.

 

You'll need to contact any necessary state agencies to change the e-pay bank account on file with them. You can refer to our Payroll Tax Compliance Links article for more information about this.
 

After updating your e-pay account with federal and state agencies, you can change the bank info on file for tax payments in QuickBooks.
 

You can also get in touch with our Customer Care team to confirm everything on the back-end looks good for the account which your tax payments are being sent to.

I also received notification from California EDD that I need to update the bank account number and routing number for PAYING payroll taxes, starting 5/31/23.  While it's initially stated that I (QBO user) would NOT have to change anything, that this will be handled automatically by QBO, I see other responses that look like instructions for the QBO user to change something.  So I'm confused - can we leave this alone, and the payments (paid semi-weekly) will be sent electronically to the right account (US Bank starting 5/31) starting on the right date?  Or do we still need to set something up.  If so, please provide instructions on WHERE to update that information.  Thank you!

I was confused too but it does appear that an actual person from QBO posted this:  So I think so long as you fall into the category in paragraph #1, all good.  Good luck!

 

As mentioned above, if you're using e-file and e-pay for your taxes within the QuickBooks account, you'll no longer need to update the California Employment Development Department ACH account information. This is because QuickBooks automatically update this detail from your bank.

 

However, if you're filing and paying your taxes outside QuickBooks, you may have to manually update this EDD ACH Bank outside QuickBooks by contacting your state agency.

Your response sounds reassuring, but the part that confuses me is "you'll no longer need to update the California Employment Development Department ACH account information".  That's because I've never updated that ACH account info, and cannot even recall when I actually first provided that information to QBO.  I also don't see where to even enter that information into QBO.  I know QBO has *my* bank account numbers, but I never provided the State's. I've been using QBO since January 2021, and every tax payment and filing has worked without a hitch - both for Federal and State of California. I'm just hoping that by doing nothing, the payments will still go to the right California EDD account as of the end of this month.  Thanks!

Hi All, I received the same letter from CA EDD.  I just got off the phone with Intuit Payroll Support.  Here are the instructions I was given.  I hope this helps everyone.

 

Hi Lynn,
Below is the steps to send the bank information change for your CA EDD information:
 

  1. Hand write your Federal Employer Identification Number (EIN) on the first page of the tax notice you received. If you have more than one notice of discrepancy, send each one separately.
  2. Email each federal or state notice to [email address removed].
    • Note: the notice must be included as an attachment to your email.  Acceptable formats include .pdf, .jpeg, .doc or .docx, .xls or .xlsx, .tiff.
  3. If you have more than one notice of discrepancy, please send each one in a separate email.

Next Steps

Once we get your tax notice, you’ll get a confirmation email with a case number and additional details. When complete, a tax specialist will email you with the required resolution, any steps we have taken on your behalf, and additional action required (if applicable).

@Lynn79 These instructions read as if they are for a taxpayer who has received a notice of discrepancy for their payroll taxes. 

 

I'm wondering if the customer service rep understood what you were inquiring about. 

 

My experience has been that as soon as they hear a keyword they they tend not to hear anything else I'm saying and try to resolve a problem from there. I'm guessing they heard notice, and payroll taxes, and assumed it was regarding an error that they need to research.

Hi Judith, I don't disagree regarding customer service agents and keywords, canned answers, etc.  I can tell you that I was assigned a case ID and there is now a paper trail showing that I notified Intuit Assisted Payroll of the change.  If they screw up my deposits, at least I have evidence to show it's not my fault, which hopefully would insulate me from penalties, etc. I did receive the following back from them via email:


CA UI Payment Method Notification

We have ensured that your tax information as provided in this document is set up correctly in our system. There is no further action required.
