Can an employee change his w4 withholding in online quickbooks

In QuickBooks Online (QBO), a Primary admin or added as a Company admin or Standard user with payroll access can edit employee information. If your employee has this type of user permission, then he can.

 

To do this, follow the below steps:

  1.  In the left menu, click Payroll.
  2. Go to the Employees tab.
  3. Locate and click the name of the employee.
  4. Choose Edit ✎ beside Pay.
  5. Go to question number 5 (What are your employee's withholding and click the pencil icon.
  6. Update the information you need.
  7. Click Save, then Done.

So the employee can change their W4 withholding settings in QBO and not complete a W4 that agrees to those changes?

Hello there, @miklmeyers.

 

Let me clear things up. Employees can only edit their W4 withholding via workforce.intuit.com and not in QBO settings. Only the Primary Admin or added as Company Admin and Standard user with payroll access can edit employee information using a QBO account.

Let me share some information about updating W-4 filing information, jH761202,

 

Only the primary/company admin and standard user with payroll access can edit the data in Form W-4. If an employee doesn't have the appropriate permissions, they'll need to contact their employer to make changes to the form.  Here's how:

 

  1. Go to the Payroll menu.
  2. Select the Employees tab.
  3. Click the name of the employee.
  4. Select Edit, under the Tax withholding section.
  5. Make the necessary changes.
  6. When you're done, click Save.

This does not answer the question. The question is "can an employee change his w4..." Meaning the EMPLOYEE makes the changes.

 

As someone else answered below its in workforce. Could we get directions on how an EMPLOYEE makes this change, in workforce. Please.

Yes, apparently an employee can change that within Workforce. I have not done it, as I am the bookkeeper, not the employee, but one of my employees did make W-4 changes unbeknownst to me.  I was surprised so I asked him and he said he did it through Workforce.

    Could you tell me how? I have employees wanting to make the change. Like you I am the bookkeeper and do not have a workforce account.

    Hi there, @LaurenPeachPalmAdmin.

     

    Thanks for sharing your concerns. Your employee can certainly make changes to their federal and state tax withholding info using Workforce. 

     

    Here are some steps you can share with your employee: 

     

    1. Sign in to workforce.intuit.com. 
    2. Go to the Profile menu.
    3. Select Edit on Tax withholding.
    4. Verify your identity via text message to the phone number on file.
    5. Make changes to your information. If you're making changes to your tax info, you'll add your digital signature. This will create a new W-4 form for your employer.
    6. Click on Save or Confirm.

    I was able to change my deductions myself a few weeks ago but now it's not giving me tve option to edit anything.  How come?

    Hi Blake. Let's determine why you don't have the option anymore to edit your deductions and resolve them. 

     

    Excessive cache or browser-related problems could be the source of this missing option. I can offer you a series of instructions that can assist in resolving typical browser-related issues and unexpected behavior that may arise while using the program.

     

    You can start accessing your QBO account using a private or incognito window. This browser feature does not store any cache, making it a suitable option to investigate if there are any underlying browser issues.

     

    You can use these keyboard shortcuts:

     

    • Google Chrome: press Ctrl + Shift + N
    • Safari: press Command + Shift + N
    • Mozilla Firefox: press Ctrl + Shift + P

     

    Log back into your QBO account and verify if you can successfully edit your deductions. If you do, return to your regular web browser and clear its cache. This will remove outdated and corrupted internet files causing the issue. Alternatively, you can use other supported browsers that work best with QuickBooks Online.

     

    If the problem continues, I recommend contacting our QuickBooks Support Team. They have tools to access your account and assist you in updating the deductions on your behalf.
