Question

Can an old payroll check that wasn't entered in quickbooks online, and taxes haven't been paid on it yet, be entered in quickbooks online?

Employee's get paid by manual ACH. We are behind on paying payroll taxes. I tried to enter older payroll checks in QB online but it won't allow through "create payroll checks"

Hi there, arizonasunflower.

I'm here to help you in entering old payroll checks in QuickBooks Online (QBO).

You can create a paycheck with a previous date as long as it's not for direct deposit and falls within the tax period's due date for paying taxes or filing forms. To do this, follow these steps:

  1. In the left menu, select Payroll.
  2. Go to the Employees tab.
  3. Choose Run payroll.
  4. If asked, select a payroll schedule.
  5. Change the Pay date and Pay period.
  6. Select your employee and then add their salary or hours worked.
  7. Choose Paper check as the Pay method.
  8. Preview and submit payroll.

However, if you encounter a message to choose a more recent pay date, I recommend contacting our Payroll Support Team to help you enter old payroll checks.

For more information on creating a check dated in the past, you can read this article: Create a late (backdated) paycheck in QuickBooks Payroll.

Sharing with you an article that may come in handy in the future. It's all about how to pay and file your 941, 944, 943, 940, state, and local taxes using QuickBooks. You can check it out at Pay and file payroll taxes and forms in QuickBooks Online Payroll.
