Can I change a pay date once I have submitted payroll? I should have paid employee tomorrow, and I noticed it was accidentally made to pay next Friday.

Welcome to the QuickBooks Community. Let me discuss how changing pay date works in QuickBooks Online. Then, ensure you can pay your employee at the right time.

 

When the paychecks are approved, changing the date will depend on the way they're processed. If they are created manually, yes, you can change the pay date. You'll have to delete and recreate them with the correct information.

 

If your paychecks are processed through Direct Deposit, changing the payroll date will be based on when you sent or processed them. With this, the cut-off time for DD processing usually happens at 5 pm PST, two banking days before the paycheck date. It also depends on the payroll service you have.

 

Once you've sent the payroll before the cut-off time, you can first delete them. 

 

Here's how:

 

  1. Go to the Workers or Payroll menu.
  2. Select Employees.
  3. Click Paycheck list under Run Payroll.
  4. Set the date range and select the paychecks you want to delete.
  5. Click Delete.
  6. Mark the checkmark box to confirm the deletion.
  7. Choose Delete Paycheck.

 

Then, whenever you're ready recreate the paychecks with the appropriate payroll date.

 

However, in case the DD payroll is already processed, I recommend contacting our QuickBooks Payroll Care team to help you void the paychecks. Then, you'll have to recreate them with the correct pay date so you can ensure your payroll and W-2 information are accurate.
