Question

Can I create a custom role in QB to utilize the Human Resources Services? I have a payroll employee that I would like to use in the HR Advisor. How do I give her access.

I do not want her to have access to accounting or bookkeeping.

Hello there, @gillelectric. I'll be glad to share insights about creating a custom role to utilize the Human Resources Services. 

 

In QuickBooks Online, you can add custom roles depending on the user's restrictions to access your company file. If you're attempting to include them in your customized roles and have access to payroll, you can assign them as a user with payroll restrictions. Please note that this user will have access to the following:

 

  • Add employees and run payroll
  • Change payroll schedule
  • Access to all expense transactions and vendor lists
  • View payroll reports
  • View the paycheck list
  • Fill out timesheets for anyone
  • View and edit payroll settings
  • Pay contractors

 

To add a new user, follow the steps below:

 

  1. Go to the Gear icon ⚙, then select Manage Users.
  2. Select the Users tab, then select Add User.
  3. Enter the user’s First name, Last name, and Email.
  4. From the Roles, select View all permissions, then assign the custom permissions you want to assign to the user.
  5. Review the permissions, then select Send invitation.
  6. You’ll be asked to Create a custom role since you have used custom permissions.
  7. Enter the Custom role name and Role description.
  8. Choose Save role.

However, if you want the user to have access to Human Resources Services, to manage the tools in the HR Support Center. Standard users (who have both payroll and edit company info access) will be able to utilize the Human Resources services for QuickBooks Online Payroll Elite. 

 

Please note that accessing Human Resources Services will depend on the payroll subscription you're using in QuickBooks.
