Question

Can you modify the pay period dates on a scheduled payroll? We pay employees one a month. Time sheets go from Sun - Sat. and the paid date changes every month.

We enter the Payroll around the middle of the month. Some months will have 4 weeks of pay and some months will have five. What is the best way to do the payroll when we want the pay period to be accurate?

Thanks for joining the Community forum and sharing the details of your concern about modifying your pay period dates on a scheduled payroll in QuickBooks Online. Worry not. I'll impart insight and guidelines to help you.

In QBO, you can only update future pay schedules. Here's how:

  1. Go to Payroll, then Employees.
  2. Choose your employee.
  3. From Employment details, select Start or Edit.
  4. From the Pay Schedule ▼ dropdown, select the pay schedule for the employee moving forward. Or, to create a new pay schedule, choose + Add pay schedule.
  5. Fill out the appropriate fields. Then select Save.
  6. Click Save.

For detailed information, refer to this article: Set up and manage payroll schedules.

However, if you are trying to update the date on a previously run payroll, you can delete and recreate it instead. If you can't delete it, I recommend contacting our payroll expert.

You say: After following these steps, you can modify the pay period dates on a scheduled payroll.

When I go to run Payroll it won't let me modify the pay period days.

Within the scheduled payroll area when I chose monthly it only lets me choose 30 day periods.

I would like my pay periods to always end on a Saturday. When I try to set a monthly scheduled it ends the pay period on the same day of the month regardless of the time sheet day of the week (Sat).

As I stated before some of our employees fill out time sheets Sun-Sat but are paid monthly.

Sometimes for 4 weeks and sometimes for 5 weeks.

Can a scheduled payroll be used or will I need to do a manual payroll every month to have accurate Pay periods displayed on their pay stubs?

Hello there, financials.

When utilizing scheduled payroll, we are unable to choose specific dates for pay periods that consistently conclude on a Saturday or Sunday. At this time, I suggest performing a manual payroll each month to ensure accurate display of pay periods on employees' paystubs.

Additionally, don't forget to submit your feedback to our product engineers. Your idea will be given an opportunity for evaluation. Here's how:

  1. Sign in to your QBO account and go to the Gear icon.
  2. Select Feedback under Profile.
  3. Enter your suggestion. Then, click Next.
