Question

Changing an employees pay schedule

"Once you run payroll for an employee or mark them as a leaver, you won’t be able to edit, change or delete their pay schedule."

Is there any way around this?

An employee is moving to monthly pay and I can't change his pay schedule. The only solution vie found is to make him "leave" and re-add him, which seems extreme.

I'd really appreciate some help.

Many Thanks

Hello there, @PoplesDARS.

I want to clarify things and help you change your employee's pay schedule.

QuickBooks Online (QBO) only allows you to edit unprocessed paychecks. If you're referring to an unprocessed paycheck, you can update your employee's pay schedule from their profile. Then, rerun the payroll to reflect the changes. Here's how:

  1. Sign in to your QBO account.
  2. Click Payroll from the left menu, then select Employees.
  3. Choose the employee from the list and click Edit employee.
  4. Go to the How much do you pay (employee name) section, then click the pencil icon to edit.
  5. Choose the new pay schedule of the employee.
  6. Click OK, then Done.
  7. Then, process the payroll again

However, if you already processed the payroll, I recommend contacting our QuickBooks Payroll Team. This way, they can help you edit the pay schedule of the employee's paycheck. To reach them, you can follow the steps below:

  1. In your QBO account, click the Help button.
  2. In the QuickBooks Assistance chatbox, select Talk to a human and choose I still need a human.
  3. Select Contact Us.

Once everything is set, I'd recommend running some payroll reports. This will help you review all your employee's paychecks, total wages, deductions, and taxes.

Please know that our Community forum is always open to help you again if you need further assistance processing payroll in QBO. Have a great one.
