Converting Payroll to Quickbooks Online

When converting payroll from another system to Quickbooks online, where does it post the payroll that has already been paid prior to moving to QB? I see the amounts when I look at Payroll reports, but I do not see it listed under the employees. I also need to post the checks from the previous system into our QB online account, but don't want to create a duplicate expense or cause the w2 to be wrong at year end. Any assistance is appreciated.

Good day, MCCA.

I'm here to share some insights about converting payroll data directly to QuickBooks Online.

If you're using QuickBooks Online for accounting and another service to run payroll. you'll need to keep track of those paychecks.

Most payroll services let you import paycheck data directly into QuickBooks Online. If your payroll service provider doesn't have this kind of feature, we can manually track your payroll paychecks as journal entries.

Here's an article for the complete guide: Manually enter payroll paychecks in QuickBooks Online.

But keep in mind, this doesn't automatically create the data you'll need for your employee's W-2. I recommend reaching your payroll service provider to get your year-end forms.

Also, to avoid errors when entering journal entries in QuickBooks, consult an accounting professional for guidance and a better understanding of debits and credits. Use this link if you can't find one: Find a ProAdvisor.

Let me know if you still need assistance or have other concerns about managing data and payroll. I'll be here to help. Have a wonderful day!
