Create iif file to export data from online payroll

On Intuit Online Payroll there was a simple button to export your payroll data into an IIF file for Import into Quickbooks Desktop. In the Quickbooks Online Payroll I was switched to, there does not seem to be that feature?

Hi @pinnwal ,

 

I can help create the IIF file and export your payroll data from QuickBooks Online. The steps are easy, so here’s what we’ll need to do.

 

First, we need to set up the preferences:

  1. Go to the Gear icon.
  2. Choose Payroll settings.
  3. Select the Pencil icon next to Export.
  4. Choose QuickBooks Desktop for Windows: downloadable IIF (Intuit Interchange Format) file and select Continue.
  5. You will be asked to type in the name of each account you are exporting your liabilities and expenses to. We also suggest that you have a copy of your QuickBooks chart of accounts handy for this.

 

Once done, you can start exporting the paychecks and tax payments. For the detailed steps, see Next, export your payroll transactions in this article: Export into QuickBooks Online or Desktop from Core, Premium, or Elite Standalone Payroll.

This seems like a ridiculous workaround (and one that won't work well either) for something that worked perfectly in Intuit Online Payroll. How can you have a payroll service without an ability to export to an accounting software?

I’m here to share the good news that you can start exporting your payroll and import it to QuickBooks Desktop.

Go to the paycheck list, select them all, you will see a button called "export to accounting" appear at the top. Asinine.

This is such a fail. Wow. Not feeling so good about shoveling money towards a company that messes up so badly on something so fundamental.

I have been hunting for the export under the payroll settings but am unable to locate anything except exports of accounting lists etc. to excel.  Is it possible that my client, who briefly subscribed to QB simple online accounting, somehow triggered a setup that does not show the feature to export payroll to an iif file?  HELP!

Thanks for joining the thread and sharing your concerns with us. I'm here to assist you with exporting your payroll data from QuickBooks Online (QBO).

 

The reason you can't find the export option in Payroll settings is that your client is subscribed to a QBO account. Please note that this feature is only available for standalone payroll accounts. Since your payroll data is already linked to your QBO account, you can export your files from your payroll reports instead.

 

Here's how:
 

  1. Go to the Reports menu and select Reports.
  2. Search and open any payroll reports.
  3. Click the Export drop-down list and choose Export to Excel.


In addition, you can customize reports in the program to have a better view of your business.

I was able to create IIF file from new Patriot Software payroll and upload to QB. However, my IRA COMPANY MATCH is entering as a deposit when it should enter as a debit (if it did it would balance with my bank account). I'm not sure how to correct this??

Welcome to QuickBooks Community, @davey4. I'm here to help you correct this uploaded transaction from your Patriot software payroll. 

 

First, you'll need to exclude the transaction from your bank transactions to avoid duplicate entries. Then, we'll import the corrected single transaction into your QBO. Here's how:

 

  1. Open the IIF file form Patriot Software payroll using Excel.
  2. Look for the incorrect transaction entered as deposit instead of debit.
  3. Reverse the amount value if you're seeing one column amount. If you see two column amount, transfer the amount to the other column.
  4. Export it as CSV or IIF.
  5. Open your QuickBooks Online.
  6. Head to the Gear icon and select Import Data.
  7. Choose Bank Data.
  8. Upload the file you recently exported.
  9. Complete the setup and verify the transactions to be imported.
  10. Select the only corrected transactions and click Continue.

 

By carefully reviewing the IIF file and making the necessary adjustments, you'll be able to correct the IRA Company Match entries in QuickBooks and ensure accurate financial reporting.

 

Afterwards, you can now start reconciling your account to match it directly with your bank statement.
