Hello, @nwhouston. Welcome to the Community, it's great to have you here.

I'm here to help you with your tax forms. If you’re using Core, Premium, Elite, Full Service, or Assisted Payroll, Intuit will print and mail employee W-2s for you automatically.

Starting on January 1st, you should start to give your employees their W-2 forms if not using one of the products mentioned above. You'll want to give these forms by January 31st.

I also have an article on how to handle W-2's when you don't have the above subscription.

I'll be just a Reply away if you need anything else. Happy Monday!

I have Quickbooks self service payroll online - will the W2's be geksnerated and mailed to employees or do I need to mail them?

Hi @Hsibson,

I'll answer this query for you about your W-2 forms in QuickBooks Online (QBO) Full Service Payroll.

This specific payroll version for QBO will mail the W-2s to your employees between January 20 through January 31. In case you need to reprint the W-2s, follow the steps below:

  1. Highlight the Taxes tab.
  2. Select Payroll Tax.
  3. Click the Annual Forms link in the Forms section.
  4. Choose either All Employees or a specific employee name from the drop-down menu.
  5. Select W-2, Copies B, C & 2.
  6. Enter the appropriate filing period from the drop-down menu.
  7. Press View.
  8. Hit the Print icon, then select Print again.

See this article for more details: Print your W-2 forms

It's a complete list of steps on how you can print W-2 forms for several different versions of QBO payroll.

Tag me in your reply below if you have other concerns. I'll be sure to get back to you.

Is there a way to deactivate the auto send of the W2's?

November 18, 2020

Good day, fsundsboe. I can help share some insights regarding deactivating auto-send of W2's.

If you're using Assisted Payroll, I would recommend contacting them so they can assist your right away with this matter. You can contact them by following these steps:

  1. Press the Help icon at the top to display the QB Assistant window.
  2. Then, select the Talk to a human menu and enter the issue/topic.
  3. Next, click the I still need a human button and select the Contact us link.
  4. Choose to Message an agent for real-time assistance or Get a callback.

Also, you'll have to E-file your W2's and your employees can check their W2 by the end of December or by January once you finalized the year 2020.

For more information about Q2 forms, please check out these articles below:

Keep me posted if you have any other W2-related concerns or any other QuickBooks questions. I'm always here to help.

I was switched to Core Payroll in November due to the phasing out of the plan I had for payroll previously. I'm extremely frustrated with the automated payments and form filing. All information on this forum states Core W-2's will be ready by January 13th but they aren't. This is the 16th. There is no way to adjust my settings because QB disables the ability in January. How do I print and mail them myself? I don't feel secure that QB is really going to mail them out because they aren't ready as it says they should be. Additionally using automated payments and filings is paying some taxes weeks before they are due and others at the last minute. The forum answers don't help. WHEN WILL THE W2'S BE READY????

Hi @mtdiner.

This is not the experience I want you to undergo in getting W-2 forms in QuickBooks Online Payroll Core.

The timing of your W-2s depends on if you chose to have us pay and file your federal and state payroll taxes for you or if you opted to pay and file them yourself. Also, the starting date in viewing the said form is January 13, 2021. With this, I'd suggest waiting for 2 to 3 days more.

For more information, you may check out this article: When will my W-2s be ready?.

If still unable to view the form, I'd recommend reaching our Customer Care Team. They have a physical copy of a form, and they can check if there are updates. Please follow the steps presented by my colleague ShiellaGraceA on how to contact them.

Ensure to call them within business hours to guarantee we address your concern immediately.

I've also added an article about handling employee's forms, paychecks, and other associated topics: Year-end checklist for QuickBooks Online Payroll.

Please let me know if you have other questions or concerns. I'm always here to help.

I want to generate, print and file my own w-2s.  I do have the QB Online Payroll Elite and the Automated taxes is turned on....however not set up in my qb file and I have filed all three quarters and preparing the 4th quarter 941.  I want to generate and print w-2 and w-3 myself.  please help.

Hi @very frustrated11, I'll surely help generate your forms!

In QuickBooks Online, a payroll subscription ensures your business processes taxes and forms on time by filing them automatically. Once Automated Taxes is turned on, payroll taxes and forms will be generated and filed electronically before they're due.

Here is an article to read and learn more about: Which Taxes and Tax Forms Intuit Handles for your Business?

Therefore, I recommend contacting our Payroll Care Support to confirm the filing status of your taxes and forms. Use this link for the contact details to connect with our team online: Contact Payroll Support.

I'm adding this reference for tips and guides to utilize in preparation for the coming year-end: Complete Certain Tasks in QuickBooks Online Payroll to Prepare for the New Fiscal or Calendar Year.

Don't hesitate to post a reply below if you have other questions or concerns with payroll taxes and forms. I'm always around happy to help. Take care and stay safe!

Does quickbooks Plus send them as well?  I don't see that as an answer from the employee and I also don't see all those types of plans on quickbooks, so just curious if it is included, but wasn't mentioned.

Hello @julieslavens.

Thank you for reaching out to the Community regarding QuickBooks Plus and W2s. I'm happy to clarify for you.

QuickBooks Plus itself is your accounting software and doesn't create or send W2s. Payroll information won't necessarily be in your QuickBooks unless you have a payroll service that integrates (ie: QuickBooks Online Payroll, Full Service Payroll, or Intuit Online Payroll).

If you have an integrated payroll service, depending on which one, we would either create and send the W2s or you would do that manually. If you have an outside payroll service, they would typically generate W2's for you. Not sure if we file for you? Here’s how to find out.

We want to make sure you have all the information you need to get your W2s generated and filed on time. Please feel free to reply if you have any additional questions about W2s or anything else.

I'll be right here!

I have auto forms set up in payroll and my employees haven't received their W-2 forms in the mail.  I have contacted support by phone two times and been assured that they are in the shipping department or have been sent.  We are way past the IRS requirement for employee W-2 forms to be mailed and received.  What can I do about this?

I'm here to take care of your concern today, @nemd.

As mentioned by my colleagues above, once you've enabled the Automate taxes and forms when setting up payroll, the W-2s would have been mailed to your employees’ home addresses via USPS starting January 20 through January 31.

I can see that you've already connected with our designated support. Since your employees still don't receive a copy of their forms up until this time, you can reach out to our Support Team again for further verification. A live representative can access your account securely, review the previous cases you had, and confirm the mailing of the forms.

Let me know if you have any other follow-up questions. I'm just a post away to help. Have a good one!

NO they don't. And our employees have an awful time trying to access W-2s through the workforce app. You end up doing it by email or postal mail

March 3, 2022

No

March 3, 2022

I do it thru quick books and mail to employees.

December 28, 2022

Is there an additional fee for mailing W2's to employees?  Or is this included in the subscription (provided you are using Core, Premium, Elite, Full Service, or Assisted Payroll)?
