Hi!

We have an audit coming up and this is the first year the audit must be submitted through a portal online. I have been working to download all of the appropriate forms and reports on QuickBooks. I am running into an issue when I attempt to download the 2023 Q1-Q4 SUC Quarterly Payroll tax reports, the 1099s, W2 forms, W-3 and 1096. When I click the download button (the icon that shows an arrow pointing down to a line___) nothing is happening and nothing is downloading. Is there something I am possibly missing? Are we able to download these forms? I am using the Desktop version. Thank you!

Warm greetings, @ollie0926. I understand the significance of having a smooth download process.

I'm here to ensure you can successfully print and download your tax reports. Let's run the QuickBooks Print & Print Repair Tool from the QuickBooks Tool Hub. It's designed to fix common errors. Before using it, make sure you close QuickBooks. For the best experience, using the Tool Hub on Windows 10, 64-bit is recommended.

Next, you can proceed to run the QuickBooks PDF & Print Repair Tool by following these steps:

  1. Open QuickBooks Tool Hub and select Program Problems.
  2. Click QuickBooks PDF & Print Repair Tool and wait for it to complete running.
  3. Print, email, or save as a PDF from QuickBooks Desktop again.

If the issue persists, I recommend restarting your computer and then try again. If none works, I suggest resetting your temp folder permissions by following these steps:

  1. Press the Windows key + R to open the RUN command.
  2. Type %TEMP% and press Enter.
  3. Right-click an empty area of the temp folder and select Properties.
  4. Click on the Security tab.
  5. Ensure that all user names and groups in Security have Full Control.
  6. After setting the permissions to Full Control, save the file as a PDF again within QuickBooks.

Meanwhile, you can read the year-end checklist to wrap up this year's payroll. It includes essential tasks such as processing employee bonuses, preparing W-2 and 1099 forms, and verifying year-to-date totals for each employee.

Thank you for your help and thorough instructions. Unfortunately I tried all three of these suggestions and I am still unable to download anything onto my computer 😞 I can print but just not save any documents.

Thanks for the prompt response, @ollie0926. I appreciate your patience in following the steps provided by my colleague above.

Since you're still experiencing the same issue, let's continue troubleshooting the issue further.

To begin, please check the system date and time on the computer:

  1. Right-click the system clock on your desktop and select Adjust Date/Time.
  2. Select Change date and time and specify the current date and time.
  3. Click OK twice.
  4. Close and reopen QuickBooks Desktop.
  5. Run the update of QuickBooks Desktop again.

If this still doesn't solve the problem, please refer to this article and follow the second solution: Fix QuickBooks Desktop Update Errors.

As a workaround, you can open the PDF file you've created and copy the file location. Then, search it in the computer's search bar to locate the file folder. You can use this in the meantime to get a copy you can send.
