Email already used - onboarding and workforce app

I have two employees. I sent both employees an email invitation to onboard using QuickBooks (which completes their I9 and W4, emergency contact, direct deposit, etc) and an email invitation to log their hours via the Workforce App. My first employee accepted the onboarding email and that worked well for him. But then when he tried to create an account for the Workforce App, it wouldn't let him use the same email he used for the onboarding. He got an error message that said the email was already in use. 

My second employee had the same problem, but reversed. He was able to get into the Workforce App to log his hours. But then we accepted the email to onboard himself....but he couldn't log in with his email because the email was already in use. 

I am sure the solution isn't to have my employees create a separate email. Any suggestions?

To avoid issues with email addresses when setting up accounts, we recommend using different emails for QuickBooks Online (QBO) and the Workforce App. Specifically, use the work email address for QBO and a personal email for the Workforce App. This separation helps prevent conflicts and ensures smooth access to both platforms.

 

Please take note of the following details to ensure the employee can accept the invitation easily.

 

  • If an employee has a QuickBooks Workforce account with another employer, you can send the invitation using the same email address.
  • If they have a QBO account, they can use a different email for their QuickBooks Workforce account. We recommend using their work email for QuickBooks Online and a personal email for Workforce.
  • The invitation is valid for 30 days. If it has been longer, you can resent it to your employee.

 

To resend the invitation:

 

  1. Go to the Payroll menu.
  2. Choose Employees, then select the appropriate profile.
  3. Next to QuickBooks Workforce, click Send Reminder.
  4. Review the email address, then hit Send Reminder again.
