Thank you for visiting the QuickBooks Community. I'll be sharing different troubleshooting steps to ensure your employee can log in to payroll in QuickBooks Online.

 

If you're referring to your employee being unable to log in to a Workforce account, you have first to make sure that you invited your employee to QuickBooks to access pay stubs and W-2s.

 

Here's how:

 

  1. Go to the Payroll menu and select Employees.
  2. Select Invite to Workforce.
  3. Check the boxes next to the names of the employees you want to invite and enter their email addresses.
  4. When finished, click Send invitation.

 

Once done, your employee will receive an email with a link to set up and use QuickBooks Workforce. Once set up, they can add their personal info, (if you selected this option) opt out of a mailed copy of their W-2, and then view their pay stubs and W-2s. 

 

Furthermore, please keep in mind that if your employee has access to your QuickBooks Online account, you have to make sure he/she uses a different email for Workforce than the one they use to sign in to QuickBooks Online. This is to ensure that your employee can log in to a Workforce account and to avoid any login issues.

 

If the issue persists, it might be the cache full of history and temp files that caused unexpected behaviors. I recommend suggesting your employee login into the Workforce account using a private browser. This is to rule out the possibility of a webpage issue, and private browsing doesn't store local files or cache.

 

Use these keyboard shortcuts based on the browser you're using:

 

  • For Firefox or Microsoft Edge, press Ctrl + Shift + P.
  • For Chrome, press Ctrl + Shift + N.
  • For Safari, hold down Command + Shift + N.

 

If it works in incognito, your employee has to clear the cache of the regular browser. This removes the history or log of sites so you can start with a clean slate. If the steps above didn't work, use another supported browser as an alternative.
