Employee expense reimbursement

Does QBO establish a future payment date for reimbursable expenses submitted by my employees? It seems like it automatically sets a due date 28 days +/- in the future. I want my employees reimbursed asap. If there is a setting, I would like to know how to set for due immediately.

You’re in the right direction for help, Chris. I’ll share you with the guidelines to enable you to reimburse your employees as soon as you can.

 

To start, we can create an unscheduled payroll. So that you will not need to wait for your next payout and you can do the reimbursement anytime. Before anything else, make sure to add your reimbursement pay type in QuickBooks.

 

Then, create and send an unscheduled payroll by following the steps below:

 

  1. Select the Payroll menu from the left navigation pane and tap the Employees tab.
  2. Beside the Run payroll dropdown, click the dropdown. From there, select one of the following options: Bonus only, Commission only, or Fringe benefits only.
  3. Select As net pay or As gross pay and enter any information about taxes or paycheck calculations.
  4. To track your payroll, pay period, and pay date, choose or review the QuickBooks bank account.
  5. Choose the employees you want to pay.
  6. Enter any necessary hours, compensation, memos, or other paycheck information.
  7. Select Payroll Preview.
  8. Choose between Preview payroll detailsSave for later, or Submit payroll.
  9. Confirm the payment method and amounts, then click Finish Payroll.

Moreover, you can also pull up a variety of payroll reports in QuickBooks. This will give you a closer look at your employee's total wages, deductions, and tax information in a certain period.
