Employees lost their payroll checks on 01/05/2024. When try submit payroll again system gives me a message that says by using 01/05 as a pay date could cause you to make a late tax payment and incur a penalty. Try choosing a date closer to today's date. I CAN'T use another date since payroll was ran on 01/05/2024. Please call me at xxx-xxx-xxxx

I appreciate you for posting this payroll question in the QuickBooks Community, trans97. I want to provide some guidance to help you make sure the employee is paid.

This prompt usually shows up if you're using automated payroll tax payments and the date you've chosen is beyond the due date.

As a workaround, you can reprint the original paycheck if you don’t want to account for the missing check number in your bookkeeping. If you do this, don’t void the paycheck. Here's how:

  1. Go to the Payroll menu and proceed to the Employees tab.
  2. Click the Paycheck list link in the right-hand corner and click on it.
  3. Look for the paycheck dated 01/05/2024.
  4. Click the Print button.

If you need to account for the missing check number, you'll need to edit the check number and void the replacement check.

To do this, follow the steps indicated the The paycheck is expired, or I need to account for the missing check number section of this article: Replace A Lost Or Expired Paycheck.

Also, please know that the QuickBooks Community is a public forum, and we are unable to make phone calls through this platform.

However, I can guide you through the steps to schedule a callback from one of our payroll specialists. Here's how:

  1. Log in to your QBO account.
  2. Go to the Help menu in the upper-right-hand corner to open the QB Assistant window.
  3. Type in talk to a human and press Enter.
  4. Select QuickBooks Online Support, then click Contact Us
  5. Provide a short description of your concern. Then, click Continue.
  6. You'll see several options on how you want to get in touch with our support team.
  7. Select Callback if you want to save your spot in the queue. You can also choose Appointment to have someone call you in the next available schedule.
