Employees taxes and payroll

We have a few contractors who would like to switch from 1099 to W2 for the year 2025. I have only done 1099s through QuickBooks. I'm not familiar with how to make that switch from 1099 to W2 and how to calculate their tax deductions for payroll.

In QBO, you can't directly convert a contractor to an employee. You'll need to deactivate the contractor first before adding them as an employee.

 

Please note that you cannot enter the same name for both an employee and a contractor. You can either modify the name before changing the status or add a period at the end of the employee's name to make it unique.

 

Here's how:

 

  1. In your QBO account, go to Payroll, then select Contractors.
  2. Find the contractor you want to deactivate.
  3. Under the contractor's name, click the dropdown button and select Mark as inactive.

 

After marking the contractor as inactive, you can manually add them as an employee.

 

Here's how:

 

  1. Navigate to the Payroll menu and select Employees.
  2. Click on Add an employee.
  3. Input the employee's name and email address. To allow them to input their personal, tax, and banking information, ensure Employee self-setup is enabled. QuickBooks will then send them an automatic invitation to QuickBooks Workforce. The employee can use this to enter their address, Social Security number, W-4 details, and banking information.
  4. Click Add Employee.
  5. Fill in any other required employee information.
  6. When you're done, click Save.
