Question

Exporting payroll transactions from QB Payroll Core to QB Desktop limited to 20 pay checks

With Intuit Online Payroll, I could export/import a month's worth of transactions all in one file.  Now using Core it takes creating a couple IIF files per week to capture them all because only 20 checks will appear at a time.  (This client has more than 20 employees on payroll.)  How can I increase the number of payroll transactions that will transfer at a time?

I can help youw with that, TerryCPA.

There are multiple ways to export your payroll transactions from QuickBooks Payroll Core to QuickBooks Desktop for Mac. You'll have the option to export the transactions from the most recent payroll run. If you need to export all payroll-related transactions including tax ‌and contractor payments at once, you can follow these steps:

  1. Go to the Payroll menu.
  2. Select the Overview tab.
  3. From the Shortcuts menu, choose Export.
  4. Use the filters to find the transactions you need to export.
  5. Select the transactions you want to export, then click Export.

If you only need to export the individual check, you pull up the Paycheck list report and filter it. This way, you'll be able to view and export all the paycheck for the month. Here's how:

  1. Go to the Payroll menu.
  2. Go to the Employees tab.
  3. Select Paycheck list.
  4. Adjust the filters to find the paychecks you need to export.
  5. Select the transactions you want to export, then choose Export to accounting.

I understand how to export, my problem is that the program only displays up to 20 paychecks for exporting and I have more than that each week. How do you get the program to display ALL paychecks for the month or am I limited to exporting a maximum of 20 checks at a time?

Thanks for getting back to us, Terry.

I can definitely help you out with exporting more than 20 payroll transactions in QuickBooks Online. For this, you only need to update the filters to include a certain number of transactions.

All you need to do is click the Filter option and choose the employees you need to export the entries for. After that, update the date range that covers the total number of checks you need.

For my company file, I have a total of 29 paychecks and they exported properly in the Excel file after exporting after applying the filters. See this:
