Question

Giving an employee paycheck for wage increase without changing reported hours?

I paid my employees last week, reported the information, and paid the IRS what it was owed. Now I found out I was supposed to give him a $1.00 per hour raise. Is there a way I can issue a check now for the that extra he should have received without it duplicating the hours already reported and the taxes paid? The total hours haven't changed, only the hourly amount. Thanks for any help!

You can issue an unscheduled paycheck and enter the wage increase for the employee, AmericanRV. I'll outline the process to get this payroll settled.

To start, we can set up a new payroll item, such as compensation, to record the unpaid wage increase from the last paycheck. I'll guide you through the process:

  1. Open your QuickBooks Desktop company.
  2. Go to the Employees menu.
  3. From the Manage Payroll Items, select New Payroll Item.

  4. Select a setup method and an item type.
  5. Choose how you compensate your employees and click Next.
  6. Once done, save your new payroll item by hitting Finish

After that, let's create an unscheduled paycheck. From there, enter the new wage amount in the "Rate" field. Make sure to include the $1.00 increase per hour.

  1. Go to the Employees menu, and then Payroll Employees.
  2. Select Unscheduled Payroll.
  3. Choose the employee, and then ensure to use the same pay period that you've used in your previous paycheck.
  4. Click the Open Paycheck Detail button, and then in the Rate field, enter the amount.

  5. Click the Save & Close button, and then click the Continue button.
  6. Once done, click Create Paychecks and then Print Paychecks, and distribute to the employee. You can also let your employees access their pay stubs and W-2s through QuickBooks Workforce

For more information, see this article: Create and run your payroll.

Once done, make sure to update the employee's wage in their profile for future pay periods to maintain accurate payroll processing.

Furthermore, you may want to generate payroll reports to track the employees' pay rate changes over a period of time.

By following these steps, you should be able to properly issue an additional paycheck to reflect the wage increase for your employee. If you need more assistance processing payroll, never hesitate to reach out here in the Community. We'd be glad to help you.
