Hi there, @Vtori67.

Importing the payroll details from QuickBooks Desktop into QuickBooks Online is currently unavailable. That's why you're unable to find the past pay stub.

I'd like to let you know that paychecks are moved to regular checks to keep your financial reports accurate. To know which data you can transfer from QBDT to QBO, please refer to this article: Learn how features and data move from QuickBooks Online to QuickBooks Desktop.

I'd recommend checking the Payroll Summary report to get a complete view of your total payroll wages, taxes, deductions, contributions, and payroll history.

Here's how:

  1. Click the Reports menu on the left panel.
  2. Scroll down to the Payroll section and select Payroll Summary by Employee.
  3. Set a date range and click select Apply.
  4. Click Customize to include the wage details.
  5. Choose Run report.

Lastly, if you need further guidelines in effectively managing your business using QBO, you can open this article: Help guide for QuickBooks Online. It contains topics about advanced accounting, banking, and payments to name a few.

If there's anything else you need about managing your payroll, just click the reply button. I'm always around to help

The problem is when i had desktop payroll my employees had workforce, and years of paystub they could access in that portal now that i switched to online, they can no longer find their old paystubs, they used the same login credentials but the paystubs are gone.... why????

I understand the importance of seeing the old paystubs in your QuickBooks Workforce, Vtori67.

The possible reason why your employees were unable to see their old paystubs is that you switched or moved from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO).

For them to have access, you'll need to invite your employees to QuickBooks Workforce from your new payroll service. Please know that if your employee has access to your QBO account, ensure using a different email for Workforce than the one they use to sign in to QBO. Rest assured that you can invite multiple employees at once to view their pay stubs.

Follow these steps to invite existing employees:

  1. Go to the Payroll menu located in the left navigation panel.
  2. Select the Employees option.
  3. Click the Invite to Workforce.
  4. Tick the boxes next to the names of your employees that you want to invite and make sure to put their email addresses.
  5. Once done, press the Send Invitations

You may refer to this guide to learn more on how to add your employees, may it be an existing or a new one: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s, and more if you use QuickBooks Online Payroll

In addition, you can access this material to learn more about what to do next if you have missing pay stubs: Troubleshoot missing pay stubs in QuickBooks Workforce.

I have had it with Workforce!!!!!!!!!!! I am tired of telling employees to start a chat if they have workforce issues. There is no where to do this!!!!!!

I want a phone number for Workforce directly. I don't have time to deal with all the employees who can't log on even though they have credentials. The transfer from the desktop to online has made my life hell. I have 30 employees out of 40 who can't log in. I have had it with all my time wasted with Workforce.

Either do your job right or give me the access to make all the corrections for my client's employees.

Aggain I ask why can't you get a phone number for these Workforce people. Are you afraid of getting screamed at like I am because of your product.?

Put a helpline on the sign in page. You are driving people nuts with your covert operation.

I can call the President of the US faster than anyone can call Workforce. Step up to the plate Workforce.

Thank you for your response but that still doesn't help me.

Employees are NOT able to login at all to get to the chat.

They get messages like - Looks like you don't have workforce. No account linked to the email you entered.

Contact your employer to create one for you.

They all have valid email addresses of which I have sent invites 1-10 times already.

Contact your employer is ridiculous to tell them because I can't do anything but invite them.

Please don't send me links - I need a phone number to contact this department PLEASE !!!!!!

I can't waste any more time trying to set this up and listening to complaint after complaint. Thank you!
