Hours Not Syncing from Quickbooks Time to Quickbooks Desktop Through Web Connect

I am using QB Desktop and QB Time with Web Connect. I have set up everything as the set up video here tells you to (https://www.youtube.com/watch?v=81RCRH3D4eA). The only thing I cannot do is when it tells you to go to Employees > Enter Time > Activate Quickbooks Time that last part, "Activate Quickbooks Time" is not an option. Probably because I already have an account activated? Bu then at the end of the video when it says to go to Employees > Enter Time > Sync Quickbooks Time, "Sync Quickbooks Time" is not an option either. I'm assuming this is because I set up Web Connect and do not need to do it that way.

The problem is, whenever I Update Web Services (checking the box next to Quickbooks Time and "Updating Selected), even after it is successful, the hours do not sync over to Quickbooks (yes I have already approved the time for the appropriate pay period). 

I have followed all the steps in the video to make sure the employees are properly set up to use QB Time and also that the employee preferences show "to use time date to create paychecks" and "Do you track time?" is marked "Yes." I have literally done everything it has said to do in that video. Why is it not transferring the hours over?

Hi, @sonofacarpenterllc. I appreciate you for performing the steps to sync your QuickBooks Time entries to QuickBooks Desktop (QBDT). I can share with you some insights so you can sync your hours successfully.

 

Yes, you're right. Using the Web Connector is different from the direct integration method. With Web Connector, make sure to take note of the following before getting started to avoid any unwanted issues:

 

In QuickBooks:

 

  • Turn on the Full payroll preferences.
  • Ensure your week start date matches in both QuickBooks and QuickBooks Time.
  • Ensure Use time data to create paychecks is checked in both the Company-wide preferences and for each active employee.
  • Ensure all employees are set up with at least one payroll item (time is unable to transfer without at least one payroll item mapped).
  • Be able to sign in as the main admin (username is generally admin).
  • Be able to switch to single-user mode.
  • Be on the computer you will be using to sync QuickBooks Time and QuickBooks Desktop because the sync can only be performed in one location.
  • Make sure all users that need to have time exported to QuickBooks are added in QuickBooks as either an Employee or Vendor (including admins, if necessary).

 

Additionally, do these on the same computer:

 

  1. Launch QBDT.
  2. Open the QBDT file that you want to integrate with QuickBooks Time, and sign in as the main administrator and in single-user mode.
  3. Sign in to QuickBooks Time as an administrator.
