Hi there, @amarepiping. Let me share with you some information about assigning projects, classes, and locations to allowances and reimbursements payroll in QuickBooks Online (QBO).

QuickBooks allows you to assign or track classes for your payroll transactions. You can set it up through the Accounting preferences.

  1. Sign in to QuickBooks.
  2. Go to the Gear icon, then click on Payroll Settings under Your Company.
  3. Tap on the pencil icon from the Accounting section.
  4. Set your options from the Class Tracking field. If you don't see the Class Tracking section, make sure to enable the feature from the Settings icon
    • I don't use classes for payroll transactions
    • I use the same classes for all employees
    • I use different class for different employees.
  5. Hit Done to save the changes.

Once done, the system will use the class added every time you process reimbursements or payroll entries.

With regards to project and location, you may record the allowances and reimbursements manually through the +New icon. From there, you can select a project and location once enabled. However, I would always recommend reaching your accountant before recording your entries to keep your record in place.

  1. Go to the Gear icon.
  2. Select the transaction type you want to record.
  3. In case you're using a Check, select a name from the Payee dropdown (either an employee, vendor, customer, or project).
  4. Fill in the information.
    1. Add the location from the Location section.
    2. Select the project name under Customer/Project.
    3. You can also select a class under the Class column.
  5. Click on the Save and close button to record the transaction.
