Question

How can I upload a new W4 to documents under employee? I have Quick Books Online Advanced and QB payroll Elite. Our employees are connected with Workforce.

I first go to Employee List, Employee, then Documents.  I am only able to view documents can not edit, delete or add.

Hello there. I'm here, and I'll share some details about uploading a new W4 document for your employee in QuickBooks Online (QBO).

 

You may be unable to edit your employee's W4 because you have granted access to your employees in the workforce. If you gave them permission to enter their information the first time they set up, they can also update their information in the future. You'll want to contact your employees and let them access the workforce to update their W4. Once they're ready, here's how they can access and update their information:

 

  1. Sign in to workforce.intuit.com.
  2. Go to the Profile menu.
  3. In your Profile menu, go to Federal and state tax withholding info.

 

In case they can't update their details, I'd recommend letting them reach out to the Workforce Support Team through chat. Visit this page for more information: Add your personal info in QuickBooks Workforce.

Is there a way to undo an accidental invitation? The tax withholding section shows the following message, but I don't see any way to actually turn off employee self-setup.

 

"We asked [Employee] to fill out their 2021 Form W-4 in Workforce.
Need to use an earlier Form W-4? Turn off Employee self-setup above and enter info."

 

The employee doesn't want to use workforce and I didn't mean to invite them to it in the first place, but now I don't see a way to undo it. The self-setup toggle shows up on the employees I haven't invited to workforce, but not on the one that I invited accidentally.

I am sharing some knowledge that will enable you to revoke the Workforce invitation you previously extended to your employee.

 

So as to accomplish this. To cancel the invitation, you must disable Workforce access. As follows:

 

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Click Payroll from the left menu, then select Employees.
  3. Choose the employee from the list.
  4. From the Actions section, click Turn off Workforce access.
  5. Hit Confirm.
