Thank you for visiting the Community, lblough.

I'd be glad to show you the steps on how to record employee advancement.

In QuickBooks Online (QBO), you can write a check or use a money payment app like Venmo or Zelle to account for the loan given to your worker. After tracking the transaction, create a deduction item for the repayment.

Here's how:

  1. Go to the Payroll menu on the left panel and choose Employees.
  2. From the list, choose the employee's name you're working on.
  3. Head to the Deductions & contributions section and click the Start link to view more details.
  4. In the Deduction and contributions section tap the + Add deduction/contribution link to open the Add deduction/contribution window.
  5. Click the Deductions/contributions type drop-down and choose Other deductions.
  6. Select Cash Advance Repayment from the Type drop-down and type a description that appears on the paycheck.
  7. Select Flat amount and enter the amount to deduct from your employee’s paycheck.
  8. If you need to collect the advance over more than one paycheck, enter the total amount owed in the Annual maximum field.
  9. Press the Save button to keep the changes.

Lastly, run your scheduled payroll with the advance payment  Then, key in the amount for the cash advance.

Here's an article that outlines the steps on how to perform the process in each payroll version: Set up and repay employee advances. From there, you'll also learn about the various options to track your worker's advance.
