Welcome to the Community, @angela-batcityse.

Let me share with you how to record an advance payment to your employees and deduct it from their paychecks.

Since you choose to create a paycheck for the advance, let's set up an advance pay item. Here's how:

  1. Go to Payroll and select Employees.
  2. Select the specific employee and click Edit on the Pay types section.
  3. Set up the pay type for the employee.
  4. In the Additional pay types dropdown, select Other Earnings.
  5. Click Edit and rename it as Advance payment.
  6. Enter the amount.
  7. Click Save.

When finished, let's set up a cash advance repayment to deduct the advance payment from the employee's paycheck. To do that:

  1. Go to Payroll and select Employees.
  2. Select the specific employee.
  3. In the Deductions & contributions section, click Start or Edit.
  4. Click + Add deduction/contribution.
  5. Under the Deduction/contribution type, select Other taxable deductions.
  6. Select Cash Advance Repayment for the Type.
  7. For the Description, add a name such as Cash Advance Repayment.
  8. In the Calculated as dropdown, select Flat amount.
  9. Enter the amount to deduct.
  10. If the advance is more than the amount of your employee's pay, enter the total amount owed in the Annual maximum section and click Save.

Once done, you can create a paycheck with the advance repayment item.

Here's an article if you want your employees to see and print their paystubs and W-2s in QuickBooks Online: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s and more if you use QuickBooks Online Payroll.

Please keep us posted if you need additional assistance creating a paycheck for your employees. I'm just a reply away. Have a nice day!
