How do I email a w-2 to a terminated employee

It's my pleasure to have you here in the Community, @userinfo123. I'll help you locate where to get the copy of the W-2 so you can email it to your employee.

 

You can generate their W-2 regardless of their current employment status as long as they have received paychecks during the year. Make sure the following information is correct before proceeding:

 

  • Retirement plan eligibility
  • Name, address, and social security numbers

 

To get the form, these are the steps:

 

  1. Go to Taxes tab and then choose Payroll Tax section.
  2. Under Forms, click the Annual Forms link.
  3. Scroll down at the bottom and then select W-2Copies B,C & 2. If prompted, tell us whether or not one or more employees were active participants in a retirement plan during the tax year.
  4. Choose the Report period and then press the View button.

Another workaround is to have the terminated employee access QuickBooks Workforce. This way, they can download their W-2 forms on their end.
