How do I enter payroll history for an employee that has not had any medicare or taxes withheld so far this year?

I have just taken over as treasurer for our church. Our pastor has not had any taxes taken out of their paychecks because the previous treasurer was just sending them a direct payment through the bank. I am wanting to use quickbooks to withhold taxes, but quickbooks will not let me put in the previous payment history without inputing tax information. Thanks!

A warm welcome to the Community, redemption. Let me provide information on why you can't add payroll history in QuickBooks Online (QBO) without entering tax information.

If you want to add payroll history for an employee in QBO, you'll need to have their pay stubs or payroll reports showing each pay item, deduction, tax info, and net pay to complete the setup. That's why QuickBooks won't let you add payroll history without entering tax information.

You should have at least the latest pay stub of the employee for the tax info since their previous pay has no deductions. You can use the paycheck calculator to determine your employee's gross pay and then calculate taxes and deductions to arrive at the net pay. Then, you can use the tax information to add payroll history for that specific employee.

For further assistance, it's best to reach out to the Payroll Support Team by contacting or chatting with them. The support representatives have the tools to perform screen sharing and help you with this. Here's how:

  1. Sign in to your QBO company.
  2. Go to Help (?located at the top part of your page.
  3. Click Contact Us.
  4. Enter your concern, then select Let's Talk.
  5. Choose a way to connect with us:
    • Start a chat with a support expert.
    • Get a callback from the next available expert.

You can contact them from Monday to Friday, 6 AM to 6 PM PT if you're using QBO Payroll Core. For QBO Payroll Premium, Elite will be available any time and any day.
