I’m here to help so you can make your employee inactive, Jim.

As long as you’ve finished the setup task under Payroll Overview and processed payroll, you should be able to see the Pencil or Edit option after selecting your employee.

You can follow these steps to make an employee inactive:

  1. From your left navigation page, select Payroll.
  2. Go to the Employees tab.
  3. Select the name of your employee.
  4. Click the Pencil icon beside the Employment.
  5. In the Status dropdown, select the best option.
  6. Press Done.

You can read this article to learn more about changing the status of employees in QuickBooks: Terminate or change your employee's status on payroll. It includes steps to create a worker's final paycheck.

On the other hand, if you've already done the processes and still have no Pencil or Edit button, you can perform some troubleshooting steps to resolve this.

First, open your QuickBooks Online account in a private or incognito window for testing. You can use these shortcuts keys below for quick navigation:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P

Once logged in, redo the instructions to make an employee inactive. If the Edit option is now available, get back to your main browser and clear its cache. Doing this helps the program to run better. You can also use other supported browsers as an alternative.

You can generate reports anytime if you need to see all information about your business and employees. Once open, you can customize, print, and mark them as your favorite.

If you have any other payroll questions or concerns, don’t hesitate to leave a message. I’ll be here. Take care always!
