How do I update an address on a W-2 form?

You can update the form depending on whether you e-filed with us or  manually filed with the IRS, @HPCPayroll. I'll clarify a few things about making corrections to your employee's address.

Please know that we're unable to fix your employee's address on the W2 form. This is because QuickBooks Online doesn't mail the form to your employees. We send the employer's copies to the respective tax agencies and mail them via postal service instead.

Don't worry, if you've enabled auto pay and file, you can contact our payroll team to request a correction. This is because payroll tax forms are prepared and filed by Intuit on behalf of the business owner. We'll rectify it and send the SSA a W-2c form.

Additionally, you'll get an updated copy of the W-2c to provide to your employee. The expert you consult can provide an estimated delivery date for you and your employee. To reach out to us, follow the steps below:

1. Go to the Help menu, and select Search.

2. Click Contact Us.

3. Enter your concern about the incorrect address.

4. Tap Continue.

On the other hand, creating and submitting a W-2c form manually with the Social Security Administration is required if you or an employee discovers the error after you have submitted your W-2s. See the General Instructions for Forms W-2c and W-3c for more information on how to do this.

Otherwise, we can still edit your employee's address on their profile if you haven't submitted it yet. This way, you won't have to create or file W-2C form. You can refer to this article for the detailed steps: Fix an incorrect W-2 and W-3.
