Question

How do you set up a payment link to calculate taxes and shipping?

I am selling an inventory product by creating a payment link to be able to use multiple times from my website or from social media. I want to be able to have QuickBooks add the shipping and taxes so that the client can pay for that when they choose to purchase the item. How do I do this. So far the payment is only showing for the item but does not have a place to add shipping or tax fee from the clients end

I'm glad to see you here, @slabrocca.

Currently, the ability to calculate the taxes and shipping fee using the payment link you created in QuickBooks Online (QBO) isn't possible.

As a workaround, you can manually create an invoice for that customer, and sales tax should be based on location. Then, add the shipping fee as an item manually.

Here's how:

  1. Go to the + New icon and select Invoice.
  2. Click the Customer dropdown, then pick Add new.
  3. Enter the Name of the customer and all necessary info.
  4. Below the Addresses section, enter the exact address of that customer. Then, in the Shipping address box tick the Same as the billing address.
  5. Select Based on location from the Select tax rate dropdown in the Additional info field. Then, Save.
  6. In the Product/Service column select the item you sell. Afterward, from the second row of the same column, click Add new.
  7. Choose what kind of Product/Service info the shipping fee falls into. Enter the name and necessary details, then Save and close.
  8. Enter the rate of the shipping fee. You opt to select if you'll include it in the tax or not by ticking the Tax column.
  9. You can see the totals below. And by clicking the See the math you can view the overall calculations of tax. Click Close, once done.
  10. If everything is set up correctly, tap Save or Save and send.

In the meantime, I recommend submitting feedback to our Product Development Team about the things you want to have in your payment link. This is a stepping stone to elevate the service QuickBooks provides.
