Let me help you sign up and manage your employees' direct deposit in QuickBooks Online (QBO), effiet.

Yes, we can have your employees fill out, sign, and date a direct deposit authorization form.  Once done, attach a voided check from the employee’s bank account (not a deposit slip). Let me guide you how:

  1. Go to Taxes and select Payroll tax (Take me there).
  2. Tap Filings then select Employee Setup.
  3. Next to Authorization for Direct Deposit, select Bank Verification.
  4. Press View.

After you complete this setup, the next paycheck you create for the employee will be a direct deposit. Let me guide you on how:

  1. Go to Payroll, then Employees.
  2. Choose your employee.
  3. From Payment method, select Start or Edit.
  4. From the Payment method ▼ dropdown, click Direct deposit.
  5. Choose a Direct deposit method (Splits can be done as a dollar amount or as a percentage.): Direct deposit to one account, Direct deposit to two accounts, or Direct deposit with balance as a check.
  6. Enter the routing and account numbers from the employee's voided check and press Done.

The question was how does an employee sign up for direct deposit.  Your answer addresses what the employer needs to do.  I received an invitation from my employer to sign up for direct deposit, but once I log into my account, I have no idea where to enter my bank info and W-9 info.  (I am using my Mint/Credit Karma account.)

The steps provided by RCV are for employers to set up their employees in QuickBooks Payroll with direct deposit. When setting up direct deposit for employees through QuickBooks Payroll, there's no invitation process. Instead, it will be set up by the employer. Your employer can however invite you to QuickBooks Workforce to view pay stubs, W-2s, and more.

You can learn more about how an employer using QuickBooks Payroll would set up direct deposits for their employees in our Set up direct deposit for employees article.

If you're a contractor and were invited to provide your W-9 business and bank account information to a company using QuickBooks Payroll, there will be an invitation to create a QuickBooks Self-Employed account.

Please feel welcome to send a reply if there's any additional questions. Have an awesome Thursday!

I’m an employee, how do I set up direct deposit?

August 10, 2024

Good day, 10031. I've got you covered. Let me share information on direct deposits.

In setting up direct deposits, there's no invitation process for employees. It will be directly set up by your employer. In setting up, your employer will need you to fill out sign, and date a direct deposit authorization form and attach a voided check from the employee’s bank account. This is to verify that the bank account is active and ready to get funds deposited after a payroll run.

Your employer can also invite you to QuickBooks Workforce to view pay stubs, W-2s, and more. After your employer grants you access, you have the option to add or edit your banking information manually.

This article will expound more on how your employers can send you an invite through QuickBooks Online Payroll to see and print their own pay stubs and W-2s online.
