How many years of GL activity should be maintained in QB? My ledgers from 2017 and 2018 are not in QB

I've got your back for pulling up your 2017 and 2018 General Ledger (GL) activities in QuickBooks Online (QBO), @jmortmac.

In QBO, your data is hosted on a cloud platform so you can access and maintain most years of GL activities. All you've recorded or added in the system will show when running the General Ledger report. With this, you just need to set the appropriate date range to obtain the information you need. To do this, here's how:

  1. Go to the Reports menu.
  2. Type in General in the search box and select General Ledger.
  3. In the Report period field, select Custom. Then, manually type in the appropriate From and To dates (01/01/2017 - 07/01/2021).
  4. Click Run report.

I've attached a screenshot below that shows the last two steps.

To learn more about focusing on the details that matter the most to you when you pull up reports in QBO, I encourage you to check out this article: Customize reports in QuickBooks Online.

After customizing, you may memorize the GL report to save your current customization settings. Then, you can opt to export or download the said report to have a copy for future use. For the step-by-step guide, you can refer to this article: Export reports, lists, and other data from QuickBooks Online.

I'll be right here to continue helping if you have any other reporting concerns in QBO. Take care and stay safe.
