How to change amount on a payroll tax transaction after recording

1) I recorded a manual payment in the payroll taxes without first verifying the amount QB calculated was correct. The amount calculated was not correct and now I need to change the amount on the already recorded transaction so I can reconcile at the end of the month. How to do that?

I can definitely help you with that, Andej7.

 

You can locate and open the tax payment on the Prior Tax Payments page and then change its amount. Here's how to do it:

 

  1. Select Taxes from the sidebar menu.
  2. Go to the Payroll Tax tab.
  3. Under the Tax resources section, click the Tax payment history link.
  4. Locate and click the tax payment to open it.
  5. Hit the Edit button.
  6. Enter the correct amount.
  7. Click OK to save the changes.

Once everything is accurate, it's time to reconcile your accounts so they always match your bank and credit card statements.

I appreciate the response but there isn't an Edit button on that screen.   I've tried both Chrome and Edge.

Thank you for reaching out to the QuickBooks Community. There are times that the browser is full of frequently accessed pages, causing some unusual behavior. Let's isolate this by logging in using a private browser (incognito). Here's how: 

 

  • Press Ctrl Shift (Google Chrome)
  • Ctrl Shift (Firefox or Internet Explorer)
  • Control Option (Safari)

 

If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. The overtime collection of data can create corruption, however, removing this should fix the issue. You can also use other supported, up-to-date browsers to roll out the possibility of a browser-related issue.

I appreciate you for performing the abovementioned steps provided by my colleague Klent. Let me add additional information about the payroll tax transactions in QuickBooks Online.

 

Please know that the amount will base on the recorded transactions. Besides, you cannot edit the amounts on the payroll forms. Additionally, you are unable to edit the amount on the payroll forms. I suggest recording the transaction as entering prior tax history if you want to mark it as paid. Here's how:

 

  1. Go to Taxes, then select Payroll Tax.
  2. Click the Payments tab.
  3. Find the tax you want to record a payment by looking through the payments list.
  4. Choose the option to Mark as Paid, then click Yes, Mark Paid if the payment is listed.
  5. This will not be a posting transaction. It has no effect on the bank register, but it clears the taxes that are due and records the deposits.
