Question

How to create prior year W-2's

Recently took on a client who failed to file 2019 W-2's.  Payroll was entered into QB Online, but the tax forms were never created.  Is there a way for me to create these forms now?  Or an easy way to pull the data for me to manually complete the forms?

Hi there, rdubray.

Thank you for visiting the QuickBooks Community. Let me point you to the right support group so you can get the prior W-2s. Then, I'll ensure you'll be able to file the form smoothly.

When filling W-2s in QuickBooks Online, the form usually appears on Payroll Tax. Since you've mentioned that tax forms were never created on the program, it seems that your 2019 W-2 form wasn't archived. I recommend contacting our QuickBooks Payroll Support Team. They have the tools to check your account in a secure environment and manually archive the form for you.

Here's how:

  1. Open your QuickBooks Account.
  2. At the top right, click the Help icon.
  3. Choose the Assistant section.
  4. Type your concern in the Type something field.
  5. Click Talk to a human.
  6. Click I still need a human.
  7. Click the Get help from a human.
  8. You'll be routed into the How can we help? page. Then, select callback or how you want to contact them and fill in the information.

Then, if you need to file the W-2s, you'll have to file it outside QuickBooks or in the IRS.

Keep in touch if you need further assistance with W-2s in QBO or if there's anything else I can do for you. I've got your back, rdubray. Have a good day.
