How to Enter PTO in a Previous Week in QB Online Time

I have an employee who did not put in his PTO for a sick day the previous week. I am trying to put it in for 9/18, but it will not allow me to.  When I go in to put it in myself, it shows that particular day greyed out.  Why would this happen?  Is there a permission missing?

Hello there, Cherie. I'm here to help you sort things out for you to manage time effectively.

 

It's likely that the time off entry for that date (9/18) has already been approved and locked in the system reason why it's grayed out and you're unable to add PTO for that specific day in QuickBooks Online Time. Before making any modifications, make sure you're logged in using administrator access for you to achieve your goal.

 

First, you'll have to unapprove the entry. This will allow you to make changes to the time entries and add the PTO for the sick day on 9/18. Here's how:

 

  1. Click + New.
  2. Select Approve Time. The current pay period displays.
  3. In Approved, choose an employee.
  4. Hit Unapprove [employee's] time. It moves back to Needs review.

 

Then, you can and re-approve the time off entry.
