HOW TO MANUALLY ENTER PAYROLL INFO INTO QBO

WE STARTED THE YEAR RUNNING PAYROLL FROM QUICKBOOKS ONLINE, THEN SWITCHED TO QB DESKTOP PLATINUM ENTERPRISE.  HOW DO I MANUALLY ENTER THE PAYROLL INFO INTO QB ONLINE?

I'm here to guide you on how you can manually enter payroll information into QuickBooks Online (QBO), @tank2.

 

You can manually enter your payroll info to QBO by creating journal entries. This way, you can track your paychecks made from QuickBooks Desktop (QBDT) Enterprise and keep your payroll and account data updated.

 

Please note that manually entering payroll paychecks into QBO tracks your payment totals. However, it doesn't create the data you'll need for your employee's W-2s. You'll need to work directly with your QBDT payroll service to get your year-end forms.

 

Then, journal entries require an understanding of debits and credits. If you have specific questions about your Chart of Accounts, I'd encourage you to reach out to your accountant or find a ProAdvisor.

 

You'll first have to create manual tracking accounts to track your payroll liabilities and expenses. For expense accounts, select Expenses as the Account Type. Then, select Liabilities as the Account Type for liability accounts. Please see the screenshot below for your reference.

 

 

 

Once you're done, you're now set to manually enter your payroll info (paychecks) to QBO through a journal entry. Use the info from your payroll report to create one. When you pay multiple employees for the pay period, you can combine all of their paycheck totals into one journal entry. Here's how:

 

  1. Get your employees' payroll pay stubs or a payroll report from your payroll service.
  2. Go to the + New button.
  3. Select Journal entry.
  4. Under the Journal date, enter the paycheck date.
  5. If you want to track the paycheck number, enter it in the Journal no. field.
