Thank you for visiting the QuickBooks Community. Let me share some information on how QuickBooks process the direct deposit paychecks you've done. Then, to ensure you'll be able to stop the direct deposit payment.
When making changes to a paycheck or stopping a direct deposit in QuickBooks Online, you'd want to consider the following:
Next day direct deposit: If you submit your payroll before 5:00 PM PT the day before the pay date, then after 5:00 PM PT that same day, paychecks will begin processing and cannot be deleted.
Same day direct deposit: If you submit your payroll before 7:00 AM PT the sameday as the pay date, after 7:00 AM PT that same day, paychecks will begin processing and cannot be deleted.
Based on the details above, you can only delete/stop a Direct Deposit paycheck if the payroll status is not yet processed.
Here's how:
Go to the Payroll menu on the left panel. Then, selectthe Employees tab.
Click the Paycheck list link under Run Payroll.
Set the correct date in the Date Range drop-down and press the Run Report button.
Tick the box of the paycheck you want to remove.
Put a checkmark on the I understand that this action cannot be undone and further action is required box.
Hit the Delete Paycheck button to confirm the action.
However, if the paycheck is already submitted, we can no longer stop the direct deposit process. I recommend contacting our Payroll Support team. They have the tools to securely access your account and further assist you with voiding your direct deposit payroll.
On the other hand, you can also do an internal agreement with your employee. You can do either of the following:
You can either do an internal agreement to return the amount or request a direct deposit reversal. Here's an article for the instructions: Reverse a Direct Deposit. Then, you can void the paycheck.
Inform the employee about the paycheck and will do an adjustment on the next payroll.
