I know exactly how to move your payroll data from QuickBooks Online to QuickBooks Desktop, @hardrockscreenin. Let me provide some details and walk you through the steps.

You can simply export your payroll transactions to QuickBooks Online or a QuickBooks Desktop company file using Intuit Interchange Format (IIF) if you're using Core, Premium, or Elite payroll without accounting turned on.

Let's start by setting up your company preferences. This avoids issues due to your settings limitations.

  1. Click on Settings ⚙, Payroll settings.
  2. Go to Export, and choose Edit ✎.
  3. Pick your accounting software:
    • QuickBooks Desktop for Windows
    • QuickBooks Desktop for Mac
    • QuickBooks Online - You’ll be prompted to log in to your QBO account to sync them. Once logged in, choose the company your payroll transactions should link to.
    • Quicken for Windows or Mac
  4. Click on Continue.
  5. QuickBooks will create default accounts for your wages, expenses, and liabilities. Click on Edit ✎ to change these accounts as it shows on your QuickBooks chart of accounts.
  6. Once complete, click on Done twice.

After that, proceed to steps 2 and 3 from this module to complete the data transfer: Export your payroll data into QuickBooks.
