Pardon me but I have tried to follow this to the letter and I still do not get how this resolves the issue of a stale paycheck, particularly one that was issued in the previous quarter.

Thank you

If the owner claims that the check is missing or if you realize that it has expired, @bhp. We will need to generate a new check. Along with issuing a new check, it is advisable to request a stop payment on the previous check.

A stop payment notifies your bank that you wish to prevent the check from being cashed, effectively rendering it void. By placing a stop order, you prevent the recipient from cashing both the original and replacement checks.

Stop payments highlight the importance of proper bookkeeping for the success of a business. Your checkbook must contain pertinent details, such as:

  • The date on the check
  • Who received the check
  • What it was for
  • The check number
  • The amount
  • Other notes and information

Moreover, lacking this information makes it significantly more difficult for your bank to execute a stop payment. Maintaining comprehensive records will contribute to ensuring compliance within your business.

If the issue persists, I encourage you to contact our payroll support team for additional assistance.

I'm also adding this QuickBooks blog regarding stale checks: How can stale-dated checks impact your business?

In the event you need to run payroll reports, see this page on how to create a payroll summary report in QuickBooks Desktop.

Feel free to reach us again if you need more queries regarding paycheck related concerns. I'm Happy to see you here again here.

Thanks Christine for taking the time to respond.  However I was hoping someone would guide me on how to replace a stale check, one that was issued in the prior tax quarter(s).  The above steps only show how to replace a lost check with the date still being the same.

I had it bookmarked before but I think it got replaced/updated recently.

Thank you.
