Hello, @TCollins13.

I'd be glad to help you process a direct deposit (DD) paycheck in QuickBooks Online (QBO).

Here are some scenarios of why you cannot process payroll:

  • When your customer runs payroll for an employee or contractor, the direct deposit check changes to a paper check.
  • When your customer changes an employee or contractor's direct deposit bank account details, they encounter an error message.
  • Your customer receives an in-product message or email message about their direct deposit approval failing.
  • Your customer notices a message saying that their employee or contractor needs to fix their direct deposit information.
To further check why you won't be able to process the DD for your employee

That said, we can easily update the details of the connected bank account. Here's how to do it:

  1. Go to Settings ⚙, then choose Account and Settings.
  2. From the left menu, tap Billing Subscription.
  3. Hit  Edit ✎ beside your payment method.
  4. Update your credit card info.
  5. Make sure the address in QuickBooks is the same as the one on your credit card statement.
  6. Once everything’s good, tick Confirm card or Save.

If the issue persists, I highly suggest contacting our Payroll Support team. They have tools that can access your account in a secure environment and check the cause of this issue. They can also perform some troubleshooting if necessary.

Here's how to reach them:

  1. In QBO, click the Help (question mark) icon at the top right.
  2. Select a suggested option, or type Direct Deposit.
  3. Tick Contact Us and choose a way to connect with us.

However, you can pay your worker with a paper check in the meantime.
