Question

I have a 1099 contractor who wants to switch to w2, but the system won't let me add contractor as w2 employee. Please advise how to resolve this issue. Thanks!

Hello, sangsquare.

Let's work together and add the contractor as an employee in QuickBooks.

I take it that you're trying add the same name for their employee profile in QuickBooks. The system won't let you create another profile with the same display names from an existing customer, contractor, or employee.

What we'll want to do is to edit the contractor's profile and add something that would differentiate it from the employee's profile. Here's how:

  1. Go to Payroll, then click the Contractors tab.
  2. Find and open the contractor's profile.
  3. Click the Personal details box.
  4. Under the Display name box, edit to something like "John Doe - moved to employees" or similar.
  5. Click Save

Now, we can add the contractor as an employee on the Employees page. If you need more help with this, check out the details in this article: Add your new employee to QuickBooks Payroll.

Do you need assistance in filing your W-2 forms in the near future during tax season? I'll add this article in case you need a guide or two: Print your W-2 and W-3 forms

If you have questions about managing your employee's transaction, W-2 forms, or your entries, drop your reply below. I'm always here to help. I'll see you again soon.
