Question

I have a past due 940 filing from last year, but the form is no longer available in quickbooks online. How do I view that form?

Also archived 940 forms are no longer showing in the archive.

Hello there, tdcaccounting.

Please know that once the tax form isn't yet filed in QuickBooks, this won't show in the archived section. Since you still have past due 940 filings from last year, you'll still see this under Action Needed. Let me show you how to see this tax and give you the best route so this can be taken care of further.

I suggest going to the Taxes page and you'll be able to view the 940 under Filings.

Here's how:

  1. Choose Payroll tax under the Taxes menu.
  2. Choose Filings
  3. You’ll see your forms to file under Action Needed. Forms due later will show in Coming Up. You can select Filter to find the specific form you need faster.
  4. Select File on the form you want to file. You can choose the File Electronically box if you want the form file electronically.
  5. Click Submit

On the other hand, I recommend contacting our QuickBooks Online Support Team. They have the tools to check your account and investigate why you're unable to view the archived 940 forms on your end. They can also look more thoroughly in case you can't still view the past tax form for filing.

In case you need steps to run several reports that give you the total payroll wages, taxes, deductions, and contributions, you can read this article: Create a payroll summary report in QuickBooks.

I'm looking forward to getting this resolved. Feel free to leave a reply if you have further concerns related to 941. The Community team always has your back. Have a good one.
