Question

I want to manually enter my paycheck as gross pay less taxes less other deductions = net check. I do not want to download from my bank. Is this at all possible?

To be clear, I want all the details . . . all of the debits and credits.

I see you want to manually enter payroll checks into QuickBooks Online. I'll give you all of the information you need to complete your task.

 

Yes, it is possible to manually enter paychecks even if you run your payroll outside of QuickBooks Online. Also, we really don't recommend using the banking feature or downloading transactions via bank feeds for paychecks since we need to consider tracking the payroll taxes.

 

To do this, you'll need to create new accounts in your Chart of Accounts to track your payroll liabilities and expenses.

 

For the Expense accounts:

 

  • Payroll Expenses: Wages
  • Payroll Expenses: Taxes

 

For the Liability accounts:

 

  • Payroll Liabilities: Federal Taxes (941/944)
  • Payroll Liabilities: Federal Unemployment (940)
  • Payroll Liabilities: [State] SUI/ETT
  • Payroll Liabilities: [State] PIT/SDI

 

These accounts cover the majority of payroll tax situations. You may need to set up additional accounts for taxes specific to your state or locality.

 

After that, you can now enter your paychecks to QuickBooks by creating a Journal Entry.
