I want to Opt out of the Workforce completely.. How do you do this?

I do not see any options to not participate in Workforce.  I do not want to add this, we are a small company, most employees do not use computers or have email.  How can I opt out of this service completely?

I'd like to share what I know about workforce access and make you will not be charged. 

 

You can't opt out workforce. To ensure you will not be using the workforce, I suggest do not invite an employee. 

 

The workforce is a free feature. As long as you don't invite an employee, then you are not using the workforce. There is no need to cancel this feature.

QUICKBOOKS! This is absolutely absurd that you are doing this! This is an ACCOUNTING NIGHTMARE for the payroll process. When an employee decides to change something at the same time you are in the middle of processing a payroll, imagine the backlash the EMPLOYER is going to get when their changes don't reflect the current payroll. I email many of my employees their paystubs and now I have to delete their email addresses to avoid this workforce invite! QUICKBOOKS, you work for me! Not my employees. You get paid by me, not my employees. You will lose many customers if you do not figure out a way for employers to OPT OUT. Matter of fact, make it so employers have to OPT IN if they choose to do this. Leave us small companies alone.

You nailed it, LWhit.  This intrusive service should be set to Opt In!  I have also deleted our employee's email addresses.  I cannot believe this is even legal.

I was just chatting with Workforce support.  They've already starting turning on Workforce, but will not send invites to employees until Sept 20.  She checked mine and since it is turned on, I was advised to do the following:

  1. Go to Employees Menu and select Manage Payroll Cloud Services.
  2. In the Payroll Cloud Services window, under QuickBooks Workforce, toggle the status to OFF.
  3. When prompted, create or confirm a PIN used to send payroll data.
  4. 4. Select Save Changes. 5. Select Return To QuickBooks

She said they will no longer advise companies to delete email addresses.  She also said the email is misleading, and employees can only view the W-4 info, it must still be changed in the office. 

 

I haven't tried this yet since I'm out of the office for the next week.  If it works, I will however keep checking it through Sept 20 to make sure it doesn't turn back on.

I followed instruction in Diane's email, and workforce was already turned off in my case.

 

We received an earlier email from QB on August 2nd, indicating a new automatic service regarding automated income and employment verification.  I opted out of that automatic service by following direction included in that email.  I do not know if this is why my 'workforce' was turned off.

 

I will continue to monitor if workforce stays turned off....

Well, QuickBooks is now wasting our time - despite what the email says... now we have to check our account everyday to make sure that the Workforce option is NOT turned on... this is a REAL pain.

  1. Go to Employees Menu and select Manage Payroll Cloud Services.
  2. In the Payroll Cloud Services window, under QuickBooks Workforce, toggle the status to OFF.

THIS IS TOTALLY UNACCEPTABLE.  WE ARE TRUSTED WITH PERSONAL, CONFIDENTIAL INFORMATION BUT INTUIT IS USING IT FOR MARKETING PURPOSES AND MAKING US LOOK LIKE WE ARE SHARING THE INFORMATION.  THIS IS TERRIBLE.

 

THIS IS NOT ACCEPTABLE.  WE DO NOT WANT INTUIT OR ANYONE ELSE USING OUR PRIVATE, CONFIDENTIAL PAYROLL INFORMATION FOR ANY PURPOSES WHATSOEVER.   THIS DATA IS THE MOST SENSITIVE DATA THERE IS. 

 

THIS IS SENSITIVE, PRIVATE INFORMATION.  KEEPS YOUR HANDS OFF IT.

I totally agree. If you are still using QB Desktop Premier or Pro you know by now that you have to have an ANNUAL RENEWING ACCOUNT popping you full price every time. If you also do payroll this is also increasing.  I think one the reason they are doing the workforce is so they can track how many employees you per pay period as I was told with my payroll annual renewal you will pay $5 per employee every month even if you are doing all the work and issuing paper checks. Payroll is now $ 650.00 plus the $ 5.

 

My feeling is they are price gouging Pro and Premier to get every on to change to QBO or Enterprise. There are never any program updates I need to expect to renew and change every year - still using 2022 at this point. But they could focus more on keeping true to their word on PR updates.  It has been over a year and they still have nothing for my states mandatory PTO tracking that we have to issue quarterly statements to employees. It took them 6 months to update to not add PTO to NON_WORKED (Hol, Vac, PTO) hours.  What a nightmare that was backing it all out.

 

I am sorry this doesn't help with the above problem but hopefully I have given you some important intonation.

I use QuickBooks desktop Enhanced Payroll and like many others I DO NOT want this Workforce service automatically turned on. Will someone from Intuit PLEASE CONFIRM that if I have it turned off in my "Manage Payroll Cloud Services" option it will STAY OFF. I do not want to have to check it every day.

I agree. I cannot see how Intuit can come into my payroll system, pull confidential information and begin contacting my employees AND giving them access to change payroll records that by law I need to keep accurate and up to date. This is not acceptable.

Apparently without any of us QB DESKTOP (!!!) customers knowing, they are clouding our confidential employee and company information!  We use DESKTOP for a reason:  We DO NOT want our information online and in any cloud!   We want it residing securely on our own private company desktop server - no where else!

 

This should be something companies have to specifically and with full knowledge and acknowledgement CHOOSE to participate in, not something QB automatically does and we have to figure out how to prevent it.

 

I am also an employee and I (and my fellow employees) DO NOT want our names, addresses, emails, Social Security numbers, dates of birth up online in some cloud!  The only entity that should have that is the government and us!   I've spent a lifetime making sure my name and personal info is literally NO WHERE online and I don't want QB suddenly deciding to just take this info we are PAYING for payroll direct deposit purposes and putting it online where it can be hacked.

 

This puts each of us in a massive liability if this were to be hacked, as every employee can hold us accountable for any breach that you have caused.

 

Additionally, advising us to remove everyone's emails from QB means we cannot send paystubs without having to go through all sorts of antics to do this outside the QB system (we are paying for!!!!).   I'm running payroll books for several different small companies and have numerous QB company files I have to do this with weekly - what!

 

Also, the notion that you think employees would appreciate getting a weird unsolicited email from QB inviting them to create a password and access their private paystubs and W2s is extremely ignorant!  Every employee I know would completely freak out (as we are) and be outraged that their private info is even accessible on the internet or that your company is storing it (!)

Just to update my post, here is how to Opt Out!:

 

Go to Employees>Manage Cloud Services

and you will see Quickbooks Workforce with a toggle switch.  Change it to OFF and close the window!

 

If only they made this clear to everyone there wouldn't have been such a tizzy when we all got the email!

If anyone finds out how to successfully OPT out of this infringement - please let the rest of us know.   This is appalling that intuit keeps our employee's information out on some server (cloud) without our knowledge.

I was surprised to find that QB Payroll added a scan to the 2021 W2s to invite employees to join Workforce.  We do not want to participate in Workforce and I need to print my W2s without this scan.  Please advise how to do this.  I am bit angry as I have wasted paper and ink on something I did not ask for.  Before I was switched to QB Payroll from Intuit Payroll I removed the check mark allowing the communication via email and I also removed the email addresses.  This should have been an indication that we did not want this service.  Please advise how I can reprint my w2s without the invite scan.

Let me guide you on how you can turn off the workforce feature in QuickBooks Desktop Payroll.

 

QuickBooks Workforce is a free add-on feature wherein employees can access their paychecks and W-2s online. If you choose not to use this feature, you can turn it off in just a few steps.

 

Like this:

 

  1. Sign in as admin to your QuickBooks Desktop company file.
  2. Go to Employees menu.
  3. Choose Manage Payroll Cloud Services.
  4. Under QuickBooks Workforce, toggle the status to OFF.
  5. Then select Save.

 

Once done, you may now print the payroll forms and pay stubs manually and give it to your employees. Here are the articles for your reference:

Hello!

 

I am using Quickbooks Payroll.  This is the product my Intuit Online Payroll was moved to.  There is not an option to click on "Manage Payroll Cloud Services".  I have looked all over the employee's profile, the company settings, I even spoke with a representative and we could not find the turn off.  I also use QB desktop for a different company and email addresses were not in the profiles so invites were not sent.  I will turn it off with the instructions you mentioned.  

 

Is there a way to remove the invite scan from the W2s?
