Question

In QB core payroll how do i setup a non-taxable reimbursement? QB support says "can't be done".

I added a Reimbursement item under Common Pay types, but that resulted in taxable income. Help files say there should be a reimbursement choice under Additional pay types but I don't see it.

I'm here to guide you in setting up a non-taxable reimbursement in QuickBooks Online (QBO) Payroll Core, @calvarytruckee.

A reimbursement is an act of compensating someone for an expense. In QBO Payroll, it'll automatically be set up as a non-taxable pay type once added to your employee's profile.

You're correct. There should be a reimbursement pay type choice under the Additional pay types drop-down. Please see the screenshot below for your reference.

When the Additional pay types section isn't displaying the Reimbursement pay type, you can perform some troubleshooting steps to isolate this matter. This display error can sometimes be caused by the browser's overtime collection of data from frequent page visits.

You can start by pulling up your QuickBooks Online (QBO) account using a private browser (incognito). Here's how:

  • Press Ctrl Shift (Google Chrome)
  • Ctrl Shift (Firefox)
  • Control Option (Safari)

Once signed in, go to the Workers menu to create a reimbursement pay type.

If you're able to do so, return to your default browser and clear its cache. This will refresh the system and remove older data that causes viewing and performances issue. However, if this matter continues, I'd recommend using other supported browsers.

Also, to know more about the supported pay types and deductions in QBO Payroll, as well as how each impacts federal taxes and forms, I'd recommend checking out this article: Supported pay types and deductions explained.

Please let me know if you have other payroll concerns and questions about the reimbursement pay type in QBO Payroll. You can drop a comment below, and I'll gladly help. Take care, and I wish you continued success, @calvarytruckee.
