Question

In QB desktop, we would enter a bill for an employee and it would ask "pay for time worked" to "close out" hours. How to do this online?

These hours are not used for payroll, but rather we keep track of how many hours they are on customer's sites to know how much that customer "costs."

Hi there, DrStaciB. I can show you the steps in creating a bill to track how many hours they are on customers' sites in QuickBooks Online (QBO).

 

The prompts showing in QuickBooks Desktop for entering a bill for an employee are unavailable in QBO. However, since you want to track the hours worked by the employee on the customer’s site, you can create a time activity by following these steps.

 

Here's how:

 

  1. Click the + New icon from the left menu bar, then select Single time activity or Weekly timesheet.
  2. Fill in the details for the time activity, such as the employee's name, the customer's name, and the date and time of the activity.
  3. Enter the hourly rate of the employee under the Cost rate.
  4. Under Select pay item, you can choose any option that you want.
  5. Select what type of service is done by your employee.
  6. You can tick Billable or Taxable, then enter the rate if it's billable.
  7. Tick Enter Start and End Times, then enter the time started and ended.
  8. You can also enter any description to easily identify that time activity.
  9. Click Save and close.

 

You can run a Time Activities by Employee Detail Report in QBO to see a breakdown of costs for each customer, including the hours worked by your employees on their site.

Thank you. That is very helpful.  When I enter hours this way, I do not see them appear on the P & L for the client. What step am I missing?

 

You mentioned running a report in QBO to see a breakdown of costs for each customer: which report would this be?

Let me add some information about your concerns regarding tracking hours worked by the employee on the customer’s site, which appears on the Profit and Loss report. Also, a report that provides a cost breakdown for each customer in QuickBooks Online (QBO).

 

First, please ensure that the item used is associated with an expense account. If no income or expense account is used, it will not appear in the Profit and Loss report. Since Profit and Loss report allows you to evaluate how your financial performance which provides a side-by-side comparison, trends, and variations in your income and expenses.

 

Secondly, to run a report in QBO to see a breakdown of costs for each customer, you can run a Time Activities by Employee Detail report. This will show the breakdown of costs for each customer, including the hours worked by your employees on their site.

 

  1. On the left navigation panel, go to the Reports tab.
  2. Search for the Time Activities by Employee Detail report in the search bar.
  3. Then, set the desired reporting date from the Time Activity Date.
