Hello and welcome to the Community, tracy5.

It would be my pleasure to help you submit W-2 in QuickBooks Online.

Can you share with me what happens when you try to e-file the form? Did you get any error message during the process? As early as now you should be able to submit the form W-2 within the QuickBooks product.

I've checked here, and we haven't received any reports from other users about a problem with submitting W-2 forms.

I want to ensure that you're able to submit the form electronically, so please don't hesitate to provide additional details below. I'm just a click away.

I'm having trouble understanding if Quickbooks did this for me as well. So I E-filed Employer Copies Form W-2. Does this electronically submit to SSA?

Hello and welcome to the Community, @mpe309.

I'm here to provide some clarification on your questions regarding the W2 form in QuickBooks Online (QBO). The Employer Copy (Copy D) is an exact replica of the version (Copy A) sent to the Social Security Administration. Copy A is what was sent when you elected to E-file in QBO, and Copy D is available to be printed for your own personal records. If you'd like to check the filing status of these forms, follow the steps below:

Checking E-File or E-Pay Status

  1. From QuickBooks Online, navigate to the Taxes tab and select Payroll Tax.
  2. Select Annual Forms.
  3. Click on the W-2, Copies A & D link and verify the status under E-file Status.

We offer plenty of additional information on this in our guides on Preparing and Filing W-2 Forms and Checking the E-file or E-Pay Status. You can also check out the brief video demonstration I've included below for a visual example:

With these steps, you can be certain that the SSA has received and is processing your employee's W2 forms. Please keep in touch with me here for all of your QuickBooks needs, I want to make sure you're taken care of. Thanks for reaching out and have a wonderful rest of your day.

Error submitting filing electronically. Error reason: Employee address is invalid or missing. It must contain an alpha character

Hi there, @AHSLV.

You may need to perform some browser troubleshooting steps. This is done to check if this is a browser-related issue.

You can begin with using an incognito browser. This can help us determine if this is a data issue. Below are the shortcut keys you can use to access one:

  • Ctrl+ Shift + N for Google Chrome
  • Ctrl + Shift + P for Mozilla Firefox and Microsoft Edge.
  • Command + Shift + N for Safari.

Once done, check if you're now able to e-file. If it works fine, clear your browser's cache to delete the cache files that cause unusual QuickBooks Online responses. If the issue persists, you can use another supported browser instead.

However, if the troubleshooting method still doesn't work, I'd recommend contacting one of our Customer Care Team. They have the tools to verify your account and help you get to the bottom of this. The support hours is Monday to Friday 6:00 A.M. to 6:00 P.M. PT, and Saturday 6:00 A.M. to 3:00 P.M. PT.

I've added this article in case you want to check your e-filling status in the future: Check e-filing or e-payment status.

I'm just a comment away if you other questions. I'll be here around to help you always.

I am trying to submit W2's and I am receiving an error message of Employee street address is invalid or missing.

It must contain an alpha character......???????? Please help!!!!!

January 11, 2023

I was having trouble and got the address needing an alpha character.  After trying all of the suggestions in this thread I finally found the answer with live help.

There really was an address that only had the street number and not the street name!  I just didn't look closely enough for it.  I fixed it and everything worked.

Look at each employee carefully.  Hopefully you don't have hundreds of them.  Look for anyone who joined the company in 2022.

Thanks for the update, @info1567. I appreciate you for getting back to this thread.

Allow me to chime in and share additional details about submitting your W2s with QuickBooks Online (QBO).

As I've checked my resources here, I've seen cases relating to your concern that have worked on their end. To help you resolve the issue, consider editing the address into one complete line or splitting them to allow the numbers and letters to appear on the first line.

Additionally, we can check and follow these possible alternatives that could help resolve the error received:

  • Ensure to spell out the main filing address
  • Remove middle initials

This way, we can ensure all addresses are verified and in the correct format.

If the issue persists, I suggest contacting our Customer Support Team again to guide you with the processes and can pull up your account in a secured environment setting.

Furthermore, you can check out this article to guide you with the time schedules in filing your W2 forms: File your W2 forms. Thus, it provides you with details about submitting them electronically or manually.

Keep us posted if you require additional assistance with filing your W2 forms. We'll be right here to assist you. Stay safe!
