Question

Is there a way to automatically send a copy of employees' paychecks to them on each payday? Or can the employee set up their profile to do this for them?

Some employees don't like to have to log into their QB accounts and find the paystub and then print them.  They asked if there was a way to have them sent automatically each payroll, since we don't print the stubs for the employees.

Let me share info about setting up automatic paystub delivery to employees in QuickBooks Online Payroll (QBOP).

Currently, QBO doesn't include a feature for automatically sending paycheck copies to employees each payday.

Also, the QB Workforce portal provides an option to email employees to let them know that their paystub is ready to view or print, but they still need to log in.

As this feature is unavailable in QBO, I recommend sending direct feedback to our product engineers. They'll receive your product suggestions and consider adding them in future updates.

Here's how to send a feedback within QBO:

  1. Sign in to your QBO account.
  2. Go to the Settings icon on the upper right corner of the page.
  3. Select Feedback.
  4. Enter your comments or product suggestions, then click Next to submit.

As a workaround, consider setting up payday reminders outside of QBO. Then, you can manually send paychecks to your employees by printing or saving them through a PDF file and sending them from your email to your employees' emails.

For future reference, you can utilize this article to get a closer look at your business finances by generating payroll reports: Access payroll reports in QBOP.

Let me know if you have further questions about automatically sending paycheck copies to employees each payday. Take care.
