I have an employee that works in two different locations but I can only assign one. I'd like to capture his payroll costs for each location.

Yes, there is a way, bobvanssvdp.

I'll help you capture hours for multiple locations in QuickBooks Online.

To start, let's turn on and set up time tracking. I'll show you how.

  1. Select Time and choose why you want to track hours.
  2. Choose if you want basic time tracking in QuickBooks Online or if you want to try a QuickBooks Time account
  3. Select Get Started.

Then, adjust your time tracking preferences:

  1. Go to the Gear icon and select Account and Settings.
  2. Select Advanced.
  3. In the Time tracking section, select Edit.
  4. Set your time tracking preferences:
    • Add Service field to timesheets or Make Single-Time Activity Billable to Customer
    • Show billing rate to users entering time
    • First day of work week▼drop-down
  1. Select Save, then Done.

After that, you can add your employee as a time tracking user.

Once done, we can now track time for different locations. Here's how:

  1. Go to the Time menu.
  2. Click on Launch QuickBooks Time.
  3. On the Time page, click on Schedule.
  4. Locate the name of the employee.
  5. Click the date your employee is working.
  6. Enter the Start and End Time
  7. On the Location field, search the address.
  8. On done, click on Publish.
  9. Repeat the process to enter new hours and locations, click the box below the created schedule.

To view, change, or approve QuickBooks Time timesheets, please see this article: Track and Manage QuickBooks Time.

Additionally, you can easily access Time Tracking reports in QuickBooks Online. To do this, I'd suggest following the steps below.

  1. Go to Reports.
  2. In the Enter report name field, enter any of the following: Recent/Edited Time Activities, Time Activities by Customer Detail, Time Activities by Employee Detail, and Unbilled time.
  3. Click Customize to filter the details you'd like to see.
