Issue with Hard-Capping Sick Leave Accumulation for Part-Time Employees in QBO

I’ve reached out to QBO Paid Experts multiple times regarding how to set up a hard cap for the maximum amount of sick leave a part-time employee can accumulate within a year. Despite consulting with experts on three separate occasions, I have not received clear instructions.

The last expert advised me to follow a particular setup as below, but when an employee reaches the cap of 40 hours and then uses some of those hours, the sick leave starts to accrue again. This causes the total accumulated sick leave for that employee to exceed the annual 40-hour cap, which is not the intended outcome.

I believe this should be a simple feature for QBO to correct or implement, and I kindly ask for a solution. Please do not suggest that it’s the users responsibility to track the correct sick leave by hand.

Providing accurate and efficient solutions is something that we always strive to deliver when customers call us for help, IYH1. I want to clarify that there's no option to set up a permanent cap on sick time accruals in QuickBooks Online.

The Maximum allowed field setting in QuickBooks Online defines the highest number of sick time hours an employee can accumulate at any given point.

If an employee uses some of their accrued sick time, the system will automatically start accruing hours again until it reaches the set maximum.

Here's an article that provides information about the available settings for accruals in QBO: Set up and track time off in payroll.

Please know we value all feedback and suggestions that can help us improve the sick accrual and time off functions. We encourage you to submit a feature request to our development team and share your insights on potential system enhancements.
