We have an employee that needs access to job profitability. Is there a way they can have access to it without being able to view employee info, check amounts, profiles, etc? She needs to be able to view who was on a job but we do not want her having access to any employee files. Is this possible?

Hello, ThelmaR714.

Restricting your user's access depends on the specific role and task they have to perform. You can limit your employee's access to Partial access level. I can guide you on how to do it:

  1. Go to the Company menu, then tap Users.
  2. Choose Set Up Users and Roles.
  3. Enter the admin password, then click OK.
  4. Hit the Role List tab.
  5. Select a role, then tap Edit to review its permissions.
  6. In the Area and Activities section, select an area of your accounts. You can choose Partial to set the access level.
  7. Click OK to save.

For your reference about the process, feel free to visit this article: Create and manage roles in QuickBooks Desktop Enterprise. It also includes steps on how you can create a custom role.

It's also easy to create restricted roles for your users. This will help you control what they can and can't do within your company file. To get started, you can follow the detailed steps on this page: Create data level permissions in QuickBooks Desktop Enterprise. You can also find here a list of frequently asked questions about the feature as well as the answers for each of them.
